Appointment Rules and Exceptions
Administrators update the availability of test schedules as well as the open slots for every time interval. Exceptions such as holidays and breaks are also included in this section.
Appointment Rules
Administrators can set appointment rules to specific products. This can also be done when you first create a laboratory product but in the event that you need to make some changes, this section of the software will be used.
Product Appointment Rules
Administrators have the option to set them per product per laboratory branch. These are the information that needs to be provided:
Timezone: The time reflected on the interval schedule
Repeats on: The days would the rule be recurring on
Daily Schedule: The operating hours the test is open for patients
Interval: The time between appointments
Capacity: The number of people that can be accommodate per time interval
Additional Appointment Setting: The other appointment controls
Lead Minutes: The number of minutes before booking a time interval for same-day appointment
Global Appointment Rules
Administrators also have the option to set one rule that would reflect on all the laboratory products.
These are the information that needs to be provided:
Timezone: The time reflected on the interval schedule
Repeats on: The days would the rule be recurring on
Daily Schedule: The operating hours the test is open for patients
Interval: The time between appointments
Capacity: The number of people that can be accommodate per time interval
Additional Appointment Setting: The other appointment controls
Lead Minutes: The number of minutes before booking a time interval for same-day appointment
Walkthrough of Setting Appointment Rules and Exceptions
Choose which product the appointment rules would be changed or updated.
Timezone
Choose which time zone will appear on the appointment setter menu that would be available to the patients.
Repeats on
Select the available days that the laboratory product is available for booking.
Daily Schedule
Set the available hours on which the test could be administered to the patients. This will also be the hours reflected on the appointment setting page.
Interval
Set the Interval or the number of minutes between each opened slot.
Capacity
Set Capacity opened for each interval. This is the number of people that are allowed to book the test within a given slot.
Enable same-day appointment
If the laboratory would accept same-day appointments, click on the box. Otherwise, leave it blank.
If the laboratory allows for same-day appointments, they need to input the lead time as well or how many minutes before the appointment the patients may book within the day.
Lead Time
Lead time is the number of minutes ahead of time before patients could book a particular time interval.
Enable cut-off time and lead days for appointment
If the laboratory would want to limit the lead days and cut-off of when the patients could book a test, they may enable this option.
Laboratories can also set at what time would the shop stop accepting test bookings and how many days ahead patients should book for the test they need.
Add Exception
If your laboratory anticipates special non-working days outside your regular daily schedule, click on Add Exception to block out and prevent appointments on those days.
Copy from template
If your products all have the same appointment rules, you may choose from the laboratory’s available templates instead of inputting all the same details for each of the products.
Exception
Exceptions will override the default capacity of the daily schedule. You can use this to modify the capacity for certain days of the week or across a range of dates.
In case multiple exceptions overlap with each other for an appointment slot, the first (leftmost) exception's capacity will be used for that appointment slot.
Exception is always used to set the lunch break or short breaks the personnel on-site takes on a daily basis.
Take note:
Global exceptions are enabled by default but you can disable them as needed. You can only edit global appointment rules in the main appointment-rules page.
If a global exception’s slot overlaps with a product exception, the product exception is prioritized.
Once all the necessary information has been encoded, click on “Update” for the changes to reflect on the appointment scheduler of the product on the shop page.
If the administrator would like to see how the exception will look they may click on “Preview” before they update the information.

Laboratory administrators may also remove an exception if it is no longer applicable to the laboratory product.
Administrators have the option to delete the set appointment rules when it no longer takes effect on the laboratory product.
